Your data stays with us.
We hold the name, email, phone, and (for orders) shipping address you give us when you get in touch — nothing more.
We never combine it with information from anywhere else, never enrich it with third-party data, and never pass it to brokers.
Payment details, when an order is placed, are handled by our payment processor and we never see the card number ourselves.
We retain order records for tax purposes for the period required by law (typically six years), and contact-form messages for up to two years unless you ask us to delete them sooner.
You have the right to access, correct, port, or erase any of it; email us and we will respond within thirty days.
You also have the right to complain to a supervisory authority if you believe we have mishandled your data.
Cookies on this site are limited to the basics — keeping you signed in, remembering the items you've added to your cart, and recording the language and currency you've chosen.

Bouldering carries a real risk of injury, so before your first session we ask for your name, date of birth, an emergency contact, and a signed acknowledgement that you understand that risk. We keep the acknowledgement because it is the record that you were briefed — not to limit your rights.
If something happens on the mats we write it down: what the climber was doing, which wall, what time, and what we did about it. These notes help us spot a problem hold or a landing zone that needs rethinking. They name the person involved and are seen only by staff on shift and the route setters.
Day pass visitors give us a name and an emergency contact and nothing else. Members give us a payment method as well, handled by our payment provider — we never see or store full card numbers ourselves.
We do not sell or share your details with brands, comp organisers, or other gyms. Photos taken during a session are only posted with the climber's spoken agreement on the day, and we take them down on request without asking why.
Acknowledgement forms are kept for five years, which is the window in which an injury claim could reasonably be raised. Incident notes are kept for the same period. Day pass records are deleted after twelve months. Write to hello@brookcrestpath.com to see or delete what we hold.
Forms for climbers under eighteen are signed by a parent or guardian, and it is the guardian we contact about anything to do with that record. We do not correspond with a minor about their own data without the guardian present.

If a member of staff handled something badly, tell the duty manager on the day if you can — the details fade fast. Otherwise write to the address above and you will get a reply within two weeks. You may also raise a matter with the Personal Information Protection Commission of Japan.
